Manage Your Content with Smart Folders and Tags

Update Date: 11/25/2025

When your content grows, you can organize it using smart folders and tags, making creating and searching much more efficient.

Smart folders are ideaShell’s content management feature. By filtering and combining tags, you can organize similar content into a smart folder, supporting single or multiple tag filters.

Here are two example scenarios:

Single-tag Smart Folder

For example, if you’re currently working on a coffee-related project, you can assign a tag #coffee to the related content (just type #coffee in text editing mode), then create a topic called “Coffee.” AI will automatically generate an icon and select the related tags you already have. Next time, you can simply click the topic to see all the content related to the “Coffee” project.

Multi-tag Smart Folder

Additionally, smart folders can include multiple tags. For instance, if you have a reading smart folder, you can set different category tags. Your “Reading” smart folder could include #psychology, #history, and #literature. Any content containing any of these three tags will be displayed in this smart folder.

Usage Example:

Since I need to prepare my daily work plan every morning, I want them to share a common tag and be placed in one list for easy viewing. Here’s how I do it:

Create a priority tag called “Work Plan,” then create a smart folder named “Work Plan.” AI will automatically select this priority tag for me, then I click save.

After setting this up, every morning I create new content by recording or typing, for example: “My work plan for today is XXXX.” AI will automatically add the “Work Plan” tag and categorize it into the “Work Plan” smart folder.

This way, I can directly click to view all my work plans in the sidebar or desktop widget, and even generate to-dos.
